Welcome to Future Vision Pilot News! In this monthly newsletter, The Rotary Foundation provides information, tips, and resources to guide Future Vision pilot districts and their clubs through the grant process.
WHAT SHOULD YOUR DISTRICT BE DOING THIS MONTH?
Apply for grants
Qualified districts and clubs can now use the Future Vision online grant application system, available through Member Access. To apply for grants, simply follow these steps:
 
Step 1: Districts complete the online qualification process. (Until your district is qualified, it will not be possible to access the online grant application system). If you have questions about the process, see the online e-learning module.
Step 2: Districts apply for a district grant. If you submit your application before 1 July, the 2009-10 DRFC and district grants subcommittee chair and the 2010-11 district governor must authorize it. If you submit it after 1 July, all three 2010-11 district officers must authorize it. For a guide to completing the application, see the online e-learning module.
Step 3: Clubs complete the club qualification process, which is managed by the district. This includes having a representative from the club attend the grant management seminar. (Until your club is qualified, it will not be possible to submit an application.)
Step 4: Districts and clubs apply for a global grant. Applying for a global grant has two stages: submitting a proposal and completing a full application. We encourage clubs to share their proposals with their district leaders and regional Rotary Foundation coordinator. More information about the application process is available in an online checklist and guide to applying for a global grant (currently in English only; other languages will be ready soon).
 
Districts 5020 and 4250 submitted the first global grant proposal, to support an economic and community development project in Honduras, and District 3330 in Thailand submitted the first district grant application. Congratulations to these districts for getting a timely start on their grant applications!
 
Conduct grant management seminars
Grant management seminars are underway to qualify clubs, allowing them to apply for global grant funds. All participants should review the Grant Management Manual before attending the seminar. Congratulations to District 5040 in Canada, which held the first of three grant management seminars with 100 participants from 32 clubs!
 
Plan for district grants: Best practices
A number of pilot districts, such as District 5440, have developed their own applications to help administer their district grant funds. For example, applicants are asked to provide information about their project's beneficiaries, indicate how Rotarians will be actively involved, and identify a project contact who will be responsible for correspondence and reporting. Applications may also include questions about participating cooperating organizations (if applicable) and Rotarian oversight for international projects and activities. Districts are invited to join the LinkedIn discussion thread on this topic.

“Future Vision: Global Grants and Your Club”

Rotarians who’d like to learn more about global grants are invited to participate in one of two identical webinars next month on the following topics:
  • Overview of the Future Vision pilot
  • Global grant requirements and possibilities
  • Areas of focus and sustainability
  • Resources
Prerequisites for participating in the webinar include taking the Future Vision Overview e-learning module and reading about the Future Vision pilot online. Details about how to participate will be e-mailed and posted at www.rotary.org in mid-May.
 
Best practices for district governors-nominee
To help ensure continuity of leadership, these best practices are recommended for district governors-nominee:
  • Participate in the planning discussions around the Future Vision Plan.
  • Become familiar with the district MOU, and be prepared to reauthorize qualification in the first 30 days as district governor-elect.
  • Take note of what the district is doing to implement the district MOU, how the new district structure is working, and how the district plans to use the District Designated Fund.
Future Vision Pilot Club and District Networking Session
At the 2010 Rotary International convention in Montreal, Rotarians from pilot clubs and districts are invited to attend a special breakout session on Monday, 21 June from 3:45-5:15 pm in Room 518 of the Palais des congrès.  Members of the Future Vision Committee will answer questions received from pilot districts submitted in advance of the session.  If you have a question about Future Vision that you would like the Committee to address during their panel discussion, please e-mail futurevision@rotary.org by Monday, 1 June 2010.  Please include in the subject line of your e-mail: FV Convention Question. The committee will address as many questions as possible during the time allotted. 

A networking opportunity will follow the panel discussion.  Networking tables will be set up in the room for each of the six areas of focus allowing pilot clubs and districts an opportunity to engage in discussion about potential projects and to locate partners.  Please bring your project summaries and business cards for the networking portion of the session.  Please note that seating in the room will be limited and no simultaneous interpretation will be provided.

A general update on the Future Vision plan will be open to all Rotarians attending the convention on Wednesday, 23 June 2010 from 1:45-3:15 pm in Room 710 of the Palais des congrès.  Future Vision staff will also be available at the Secretariat Services booth in the House of Friendship.

Club Officers’ Kit
Incoming club leaders should have received the Club Officers’ Kit between November and March. Club presidents-elect in Future Vision pilot districts should disregard chapter 6 on The Rotary Foundation in the Club President’s Manual. Please refer instead to the Future Vision Addendum to the Club President’s Manual available on www.rotary.org.
 
Club Rotary Foundation committee members might have received a print version of the Club Rotary Foundation Committee Manual. Pilot districts should disregard the printed copy and refer instead to the Future Vision Addendum to the Club Rotary Foundation Committee Manual on www.rotary.org.
 
The most up-to-date Future Vision information and publications are available on www.rotary.org. Use the online version of your publication to ensure you have the right information. Consider e-mailing hyperlinks to the documents to share with your fellow Rotarians and recommend printing only the pages with the most pertinent information.
 
Complete the district qualification e-learning module
Geared to the DG, DGE, and DRFC, the Member Access: District Qualification module highlights the process of completing district qualification online. It can be found in the Rotary E-Learning Center.
 
Submit district appointment forms
Remember to fill out and return the Future Vision District Rotary Foundation Committee Appointments form by 1 July naming the district's three subcommittee chairs. Some districts have filled out this form, while other districts have filled out the original form. If your district appointed scholarship, alumni, and Rotary Peace Fellow subcommittee chairs, please note that all communication about these areas will go directly to the grants subcommittee chair to share with the appropriate Rotarians.

YOUR QUESTIONS ANSWERED
Q: How can pilot districts administer their Rotary Peace Centers participation through the new district leadership structure?

A: Under the new district leadership structure, districts aren’t required to create a Foundation subcommittee for Rotary Peace Centers. Districts may assign the duties normally handled by a district Rotary Peace Centers subcommittee chair to a member of the grants subcommittee or appoint a subcommittee (under the grants subcommittee) to administer the district’s participation in the Rotary Peace Centers program.

Q: Does our district need to complete our District Simplified Grants in order to receive our 2010-11 district grant payment?

A: No. Payment of your 2010-11 district grant may be made if your district has one open District Simplified Grant, as long as your district has submitted complete and accurate reports for at least 50 percent of that grant. Your district also needs to be current on reporting for district-sponsored Matching Grants.
