Club Leadership Updates

 
In one step you can now update your club's leadership roster, submit your newly elected club officers to the district, and notify Rotary International who will serve as president and secretary of your club next year.  All that is necessary is to simply update the members' positions in DaCdb by assigning them to their "Elect" position.  DaCdb will automatically move the following "Elect" positions up to their new positions on July 1. 
  • President-Elect is moved up to President
  • Secretary-Elect is moved up to Secretary
  • Treasurer-Elect is moved up to Treasurer
  • President-Nominee is moved up to President-Elect

This updates the district's database immediately and sends the information needed by Rotary International for maintaining the RI records about clubs.  You can read more in the DaCdb FAQ #18 here.

Making these changes to your club's membership roster immediately after your club holds its elections which are due no later than December 31 of each year is very important.  This is necessary as the district governor elect needs to be able to communicate with these leaders and Rotary International must have the information so they can send the materials needed by these officers for the coming year.

The correct procedure when someone in your club has a "new position", such as President-elect or Secretary-elect, is for the club's secretary to update the member's position. Here are the steps...
  1. Log into the DaCdb system.
  2. Click on the "my Club" tab.
  3. Click on the pink "Edit Club" button in Section 1 - Club Information".
  4. Review and update information in Sections 1 & 2 about your club.
  5. Scroll down to Section 4 - Club Members and Positions:
  6. Click the down arrow beside the "Position" field beside the member's name you wish to update.
  7. Change the "Position" * for the member to their new role (Pres-elect, Sec-elect, etc).
  8. Once you've updated the newly elected member positions, click the yellow "Update" button at the bottom of the page to save all of your updates.
(Remember to leave the current club leaders' positions unchanged.)

In this one process you've updated the club's information and web site, the district database and notified Rotary International of the newly elected officers.  This saves you several steps and lots of time.

* Note about "combination" positions such as:
Secretary/President-Elect (means they are currently the Secretary, and also the President-Elect) - moves to President on July 1
 -or-
Secretary/Secretary-Elect (means they are currently the Secretary, and also the Secretary-Elect such as a 2 year term).  - moves to Secretary on July 1

Our current club president's position is "President" and she will serve as next year's secretary.  What position do I assign to the current president?  President/Sec-elect - moves to Secretary on July 1

Our current club vice president will serve as club president year after next.  What position do I assign?  Vice President/Pres-Nominee - moves to President-Elect on July 1
